Your information, explained clearly

This notice explains what PowerHouse Exteriors collects through this website, why we use it, when we disclose it, and the choices available to you.

1. Scope

This Privacy Notice applies to the PowerHouse Exteriors website, its Roof Report, bid-review tools, service-request forms, account features, and related online communications (collectively, the “Services”). It does not replace the privacy terms of a separate written construction agreement or a third-party website linked from our Services.

“PowerHouse,” “we,” “us,” and “our” mean PowerHouse Exteriors. “You” means a visitor or person using the Services.

2. Information we collect

Information you provide

Depending on how you use the Services, you may provide:

  • Name, email address, telephone number, property address, and preferred contact method.
  • Project information, including service requested, timing, roof or exterior condition, storm history, questionnaire answers, photos, and free-text messages.
  • Account and verification information, including your email address, a hashed one-time verification code, session records, and related security events.
  • Consent and communication records, including the choices presented to you, the choice you made, the form and policy version, date and time, and delivery or response status.

Bid-review and uploaded document information

If you use bid review, we collect the files you upload, their filenames and file types, extracted text, and information identified in the estimate, such as contractor name, project scope, product details, warranties, exclusions, and amounts. We may also collect the property address and contact information you add to that review.

Please remove information that is not needed for the review, especially Social Security numbers, payment-card or bank details, dates of birth, medical information, passwords, and access credentials.

Information collected automatically

Our servers and necessary website tools may collect IP address, timestamps, requested pages, referring site, general device category, browser family, error and security records, and interactions needed to keep a request connected to your session. We remove query strings from stored referrer information.

Unless you turn analytics off, we collect limited page and form events, such as page views, page exits, form starts, step completion, errors, and successful submissions. Session replay is disabled. We honor Global Privacy Control and similar browser opt-out preference signals. We do not rely on the older Do Not Track header, which browsers send inconsistently and which no longer carries an agreed meaning.

We record campaign parameters and advertising click identifiers, such as Google or Microsoft click IDs, that arrive with your visit to our own website. We use them to understand which advertisements led to a visit or a service request, and we keep them whether or not advertising cookies are enabled, because this measures our own marketing rather than disclosing anything about you to another party.

Unless you turn advertising off, we also allow advertising cookies and identifiers set by Google and Meta, including Meta click and browser identifiers. These support conversion measurement and personalized advertising, which includes showing you our advertisements on other websites. Some state laws treat this as sharing for cross-context behavioral advertising. When permitted, we may send hashed contact identifiers and service-request outcomes to the advertising platform for matching, measurement, and optimization. We do not send property addresses, inspection notes, or questionnaire free text for advertising measurement. You can turn all of this off in Privacy Choices, and an opt-out preference signal turns it off automatically.

Property and other third-party information

To prepare a report or evaluate a property, we may obtain address coordinates, parcel and assessor records, permit information, aerial or satellite imagery, roof geometry, property characteristics, and weather or storm information from sources such as Google, Regrid, county or municipal systems, NOAA, and the National Weather Service. Public records may contain an owner name. We do not use a public-record owner name to prefill your contact identity.

3. Cookies and browser storage

Cookies and similar browser storage help the website remember a session, protect accounts, save progress, and apply your choices. Blocking necessary storage may prevent reports, forms, or account features from working.

Google and Meta advertising tags load only when configured. Analytics and advertising storage are enabled by default and stop as soon as you turn them off in Privacy Choices or send an opt-out preference signal such as Global Privacy Control, which we honor in the browser and on our servers. A choice you make in Privacy Choices is treated as your most recent decision for this website. Browser retention and server-side record retention may differ.

4. How we use information

We use information for the following business and operational purposes:

  • Provide, generate, secure, and deliver Roof Reports, bid reviews, and requested property services.
  • Contact you, schedule an appointment, answer questions, and provide customer support.
  • Evaluate properties, estimate project needs, and prepare proposals or service recommendations.
  • Authenticate accounts, preserve progress, prevent fraud or abuse, and troubleshoot errors.
  • Maintain transaction, consent, delivery, warranty, accounting, and compliance records.
  • Improve site performance and usability, unless you turn analytics off.
  • Measure advertising performance and show you our advertisements on other websites, unless you turn advertising off.
  • Comply with law, enforce our terms, and protect people, property, and the Services.

5. How we disclose information

We may disclose information only as reasonably necessary to:

  • Our employees, crews, and contractors who need it to respond to or perform requested services.
  • Vendors that provide hosting, databases, file storage, email delivery, customer-relationship management, scheduling, communications, security, and technical support.
  • Mapping, property-data, imagery, permit, parcel, and weather providers when needed to locate or evaluate a property.
  • PostHog for analytics and Google or Meta for advertising measurement and personalized advertising, according to your choices.
  • Government authorities, insurers, professional advisers, or other parties when reasonably necessary to comply with law, respond to lawful process, investigate misuse, or protect rights and safety.
  • A successor or participant in a merger, financing, acquisition, reorganization, bankruptcy, or transfer of all or part of our business, subject to applicable law.

We do not sell personal information for money. Optional advertising measurement may be considered “sharing,” “targeted advertising,” or a similar regulated activity in some jurisdictions. You can reject or withdraw that choice using the controls on this page.

7. Communications

When you request a report or service, we may use the contact information you provide to respond with operational emails, calls, or texts about that request. If you separately agree to marketing or roof monitoring, we may send messages within the scope of that choice. Agreeing to optional marketing or texts is not a condition of purchase.

PowerHouse does not sell, rent, or share mobile numbers, SMS opt-in data, or text-messaging consent with third parties or affiliates for their marketing or promotional purposes. SMS opt-in and consent are specific to PowerHouse and are not transferable. We may disclose this information to communications providers and other vendors solely as needed to deliver and support our messaging program; they may not use it for their own marketing or promotional purposes.

Message frequency varies based on your requests, project activity, and any optional messaging programs you join. Message and data rates may apply. Reply STOP to opt out of text messages and HELP for help, email hello@phexteriors.com, or call 208.830.5823. You may use an unsubscribe link in a marketing email. We may send a final confirmation of an opt-out and may still send non-marketing messages needed to complete a transaction, address safety or security, or comply with law.

8. Retention

We retain information only for as long as reasonably necessary for the purposes described here, including delivering requested services, preserving project and warranty history, operating and securing the Services, resolving disputes, and meeting accounting, insurance, and legal obligations. Retention varies by record type.

If you upload files for a bid review but do not submit the review, we delete the abandoned files from our active upload systems after 30 days of inactivity. When you submit a bid review, we may retain the submitted review, extracted information, communications, and related business records for as long as reasonably needed for the purposes above. Temporary upload copies may be removed sooner after secure transfer. Backup copies may remain for a limited period until overwritten through ordinary system processes.

9. Security

We use reasonable administrative, technical, and physical safeguards designed for the nature of the information we maintain. Measures include server-side credentials, signed account sessions, expiring and hashed verification codes, validation, rate limits, and restricted operational access. No internet service, storage system, or transmission method can be guaranteed completely secure.

10. Your choices and privacy rights

You can use the Privacy Choices control above, or the “Your privacy choices” link in the footer of every page, to turn analytics and advertising off or back on. Turning advertising off is how you opt out of what some state laws call sharing for cross-context behavioral advertising. You may also clear cookies or local storage through your browser, though doing so can sign you out or remove saved progress.

We honor opt-out preference signals. If your browser or an extension sends Global Privacy Control, we treat it as an instruction to turn analytics and advertising off, both in your browser and on our servers, without requiring you to do anything else. If you afterwards make a different selection in Privacy Choices, we treat that later, site-specific choice as your current decision for this website.

Depending on where you live and subject to exceptions, you may have the right to request access to, correction of, or deletion of personal information; receive a portable copy; opt out of regulated sale, sharing, or targeted advertising; withdraw consent; or appeal a denied request. We will not discriminate against you for exercising an applicable privacy right.

11. Children

The Services are intended for adults seeking property information or exterior services and are not directed to children under 13. We do not knowingly collect personal information from a child under 13. A parent or guardian who believes a child has submitted personal information should contact us so we can investigate and take appropriate action.

12. Changes and contact

We may update this notice as our Services or legal obligations change. The “last updated” date shows when the current version took effect. If a change materially affects how we use information already collected, we will provide additional notice or obtain consent when required by law.
